Access and Reproduction

The Cinémathèque québécoise loans objects and documents from its collections to museums in Quebec, Canada and abroad. The institution requires strict exhibition conditions that meet international museum standards in this area.

For loan requests, including for travelling exhibitions, the Cinémathèque applies the following rules :

• The borrowing institution must provide a report specifying the physical conditions in which the objects and documents will be displayed. It must demonstrate that it will respect adequate environmental control and security conditions (lighting, environmental control, security systems, etc.);
• A condition report will be prepared by the Cinematheque before the items are removed from our collections, and by the borrower upon receipt of the loaned items. When the exhibition is dismantled and before the loaned items are returned, the borrower will prepare a new conservation report and send it to the Cinémathèque;
• Transportation, insurance and collection are always at the borrower's expense. The Cinémathèque must approve the carrier, obtain proof of insurance, and supervise the crating;
• The Cinematheque may require that high-value artifacts or documents be accompanied by a courier, usually a Cinematheque employee; in this case, all travel expenses for the courier must be borne by the borrower, both to and from the object;
• The Cinémathèque will provide the borrower with the insurance value of each artifact or document;
• A loan agreement must be signed before the artifacts or documents are transported;
• The borrower must publicly acknowledge the Cinémathèque's contribution as indicated by the Cinémathèque and included in the loan agreement;
• If the loan is for a traveling exhibition, the Cinémathèque must approve each location.

The Cinémathèque makes these works available to a diverse clientele for screening or reproduction purposes. Loans of materials and print items for projection and reproduction are subject to the CTVNM Collections Access Policy, which specifies the following:

PRESERVATION COPY
Conservation copies that are rare, unique, in a condition that does not permit their use, or whose print elements are not maintained by Cinémathèque are generally not loaned.

DEPOSITED MATERIAL
In the case of deposits, any release of print items or copies requires the consent of the depositor and the rightful owner, except for screenings at the Cinémathèque or at an organization that is part of FIAF.

DONATED MATERIAL
Loans of donated or Cinémathèque-owned copies and print elements for any screening or reproduction not under the supervision of a FIAF member organization or other organizations recognized by Cinémathèque are generally refused.
The Cinémathèque may refuse, at its discretion, the use of items from its collections.

RIGHTSHOLDER AND DEPOSITORS
If an entitled party or depositor uses the same item (copy or preservation item) deposited by deposit agreement more than three times, Cinémathèque reserves the right to request that a new preservation item be produced.

LABORATORY OR SERVICE HOUSE
In the case of items requested for reproduction purposes, the laboratory must be approved by the Cinémathèque. Under no circumstances are print items sent overseas.
